Practical AI systems for small businesses that already have enough to do

Where the time goes

If any of this sounds familiar, there is usually something worth fixing

Most small businesses do not have an AI problem. They have a handful of processes that depend on someone remembering to do them.

  • 01

    Repetitive administration

The same forms, updates and copy-and-paste work every week, done by hand.

  • 02

    Leads falling through the cracks

Enquiries arrive, get half-answered, and quietly go cold.

  • 03

    Slow proposals and follow-ups

Quotes take days to prepare because everything starts from a blank page.

  • 04

    Information scattered across tools

Details live in inboxes, spreadsheets, chats and someone's head.

  • 05

    Staff using AI inconsistently

Some people experiment, others do not, and nothing is written down.

  • 06

    No clear implementation plan

Plenty of ideas about AI, no agreed order of work or owner.

How a system actually works

Input, understanding, a decision, a draft, then a person

This is the shape of nearly every workflow we implement. The technology prepares the work; your team stays in control of what goes out.

Each step is built, tested and documented so your team can see exactly what happens, and where they can intervene.

What changes

Fewer things depending on memory

We aim for specific, measurable improvements in how the work moves through your business, not a general sense that you are now using AI.

Save administrative time

Move predictable, rules-based work out of people's days and into a documented system.

Respond to opportunities faster

Enquiries get acknowledged, qualified and followed up without depending on memory.

Standardise recurring work

Proposals, onboarding and reporting follow the same reliable steps every time.

Build systems that can grow

Start with one workflow, then extend it as the business and the team change.

How we work together

Start with clarity, then build one thing properly

Most engagements begin with an audit. From there you decide whether to implement, and whether you want ongoing support.

These are indicative starting investments. Your final fee is confirmed after discovery and depends on workflow complexity, integrations, data readiness and implementation scope.

All website prices are shown in South African rand (ZAR). International engagements are quoted in USD in the final proposal unless another currency is agreed in writing.

The process

Four stages, in this order, every time

No project starts with a tool. It starts with understanding how the work happens now.

  1. 01

    Discover

We look at how your business actually runs today and where time is going.

  2. 02

    Prioritise

We score the opportunities by value, feasibility, risk and effort, then agree an order.

  3. 03

    Implement

We build, test and document one focused workflow with clear approval points.

  4. 04

    Improve

We measure how it performs in real use and extend it as the business changes.

Common starting points

Workflows we are asked about most

Lead intake and qualification

Capture enquiries, enrich them and route them to the right person with a consistent summary.

Proposal and quotation preparation

Draft proposals from your own templates, pricing rules and past work, ready for review.

Customer enquiry triage

Categorise incoming messages, draft first replies and flag anything that needs a person.

Meeting notes and follow-up

Turn call recordings or notes into agreed actions, owners and follow-up messages.

Internal knowledge assistants

Let your team ask questions against your own documents, policies and process notes.

Document and data processing

Read invoices, forms and supplier documents and write structured data into your systems.
